Financial Dashboards for Newport Beach Wealth Managers, Real Estate Firms and Family Offices
The portfolio system knows the assets, the accounting system knows the expenses, the bank portal knows the cash, and the monthly management pack is still built by hand in a workbook. We connect them so the firm's own numbers are one click away.
Most dashboards sold to finance firms look outward, at markets and portfolios. Lightray Solutions builds the inward-facing kind, the financial dashboards Newport Beach firms use to run themselves: a firm-level view of revenue, client profitability, cash position and budget against actual for wealth managers, real-estate investment firms, family offices and the finance teams of companies headquartered here.
Edward Pinela, MBA, scopes and builds every dashboard personally, in Power BI and inside your own Microsoft tenant. All delivery is remote. If you are looking for Power BI help in general rather than finance reporting, see Power BI consulting in Newport Beach.
Each project is quoted at a fixed price after a short discovery. The first step is a free 30-minute strategy call: send the form or phone, and we reply within 4 business hours.
What does a firm-level financial dashboard show?
It shows how the business itself is doing, not how its investments are performing: revenue and its drivers by month, profitability by client or property, cash by entity and account, and spending against budget with the variances that matter flagged. Leadership sees the whole firm; each manager sees their own book, team or properties.
To be clear about the boundary: these dashboards do not recommend investments, report performance to your clients or establish compliance with any regulation. They organise your own operating data so the people who run the firm can see it, and those other functions stay with the systems and advisers responsible for them.
Who in Newport Beach uses them?
Finance is part of the city's fabric. Data USA's 2024 figures show finance and insurance as the third-largest industry among Newport Beach's employed residents, at 4,681 people, behind professional services and health care, in a city of 83,845 with a median household income of $156,867. Around that sit four kinds of firm that ask for the same thing in different words.
A registered investment adviser wants assets under management and fee revenue by month, revenue per household tier and how many households each adviser carries. A real-estate investment firm wants net operating income against budget by property, occupancy, upcoming lease expirations and the debt maturity schedule. A family office wants consolidated cash across entities and the budget of each operating company. A corporate finance team wants department budget against actual without waiting for month-end close. The table below sets out the pages each one usually starts with.
| Firm type | First dashboard pages | Usual data sources |
|---|---|---|
| Wealth managers and RIAs | AUM and fee revenue trend, revenue per household tier, households per adviser, operating expense against budget | Portfolio or practice-management exports, CRM, general ledger |
| Real-estate investment firms | NOI against budget by property, occupancy, lease expirations, debt maturities | Property-management system, general ledger, loan schedules |
| Family offices | Consolidated cash by entity and account, operating company budgets, bills due | Bank exports, entity ledgers, bill-pay records |
| Corporate finance teams | Department budget against actual, headcount cost, rolling forecast | ERP or general ledger, payroll, planning workbooks |
Where does the data come from, and how is it protected?
From the systems the firm already uses: portfolio or practice-management exports for AUM and fees, the general ledger in QuickBooks, Sage Intacct, NetSuite or similar, the property-management system, payroll, and bank exports for cash. We read reports and exports, reconcile totals to your books, and schedule the refresh.
Which data enters the model is agreed in writing before anything is connected. Client names can be replaced by household or account numbers, row-level security limits each person to what they are entitled to see, and the model lives in your tenant, not ours. Your compliance officer decides what is in scope; we build to that decision.
How is a budget-versus-actual dashboard different from the monthly pack?
It is live, it drills down, and it is the same for everyone. The monthly pack is a snapshot assembled after close; a budget-versus-actual dashboard refreshes on a schedule, lets the controller click from a department variance to the vendors and invoices behind it, and stops three versions of one spreadsheet from circulating.
Two design choices make it useful rather than decorative. Variances are shown in dollars and percent with a threshold, so a 40% overrun on a $500 line does not crowd out a 6% overrun on payroll. And the budget is loaded at the same level of detail as the ledger, which is often the slowest part of the project and the one that matters most.
What does it cost and how does the project run?
Pricing is fixed after a short discovery, based on the number of entities, sources and roles. If your firm already runs Power BI and needs an existing report extended, Power BI Flex Support is available from $2,500 for 20 hours at $100 to $125 an hour, and the hours never expire.
The sequence is discovery, a definitions session with the CFO or controller, the build and reconciliation, then a short walkthrough for each role, with documentation your staff can maintain. Power BI projects carry one promise: should you dislike working with us at any point in the first 4 hours, you are refunded. More than two decades of business and data work (20+ years, 200+ projects) sit behind each build, and Lightray's Google rating is 4.9★. Frequently asked questions
What does a financial dashboard project cost?
It is quoted at a fixed price after a short discovery, because a single-entity budget dashboard and a family office consolidating a dozen entities are very different projects. The quote lists every deliverable; Power BI licences sit on your own Microsoft account, billed by Microsoft.
Will the dashboard give investment or tax guidance?
No. It shows the firm's own operating figures as recorded in your systems. We do not give investment, tax or legal advice, and we do not report performance to your clients. Those stay with your advisers and the systems built for them.
How long does it take?
A first version on clean ledger data is often ready within a few weeks of discovery. Multi-entity consolidation takes longer, mostly in mapping charts of accounts and reconciling intercompany figures. The written scope sets out each milestone before work begins.
Do you meet in person in Newport Beach?
No. Every stage happens remotely: discovery and definition sessions over video with a shared screen, the build inside your Microsoft tenant. Lightray's Fullerton address is for correspondence rather than client meetings, so no travel time ever appears on an invoice.
You Won’t Get Handed Off to Junior Staff.
At most consulting firms, the senior person who sold you shows up for the kickoff — then you get handed to a team of juniors learning on your dime. That’s not how we work.
When you hire Lightray Solutions, you work directly with Edward Pinela, MBA — a principal consultant with 20+ years of experience across Power BI, web development, SEO, and CRM systems. Edward architects every engagement personally, stays involved through delivery, and answers his own phone.
