Revenue and margin analytics

Revenue Optimization Analytics: Finding Where Your Revenue Leaks

Sales went up and profit didn't, or revenue held steady while the biggest customers quietly bought less. The totals on the monthly report can't tell you which, and that is the question that matters.

Revenue optimization analytics shows where revenue is won and lost below the total line: which price changes stuck, which discounts went further than intended, which customers and products earn their keep, which accounts are drifting away and where deals stall. Lightray Solutions builds these analyses as Power BI reports on your own CRM, ERP and accounting data.

The point is not a prettier sales chart. It is a short list of specific leaks, sized in dollars, that someone in your company can act on. Edward Pinela, MBA, builds the analysis himself.

The first step is a free 30-minute strategy call. Revenue analytics is quoted at a fixed price after a short discovery, scaled to the number of data sources.

“Amazing! Lightray Solutions built us a Power BI dashboard based on my busy restaurant’s quickbooks data that allows me to see my entire business on a daily basis which has been a game-changer! Excellent communication and service!”

— Quinn R., Google review

Where does revenue usually leak?

In five places, and most companies have at least two. Prices drift because list increases never fully reach invoices. Discounts grow deal by deal without anyone seeing the total. Some customers and products cost more to serve than they bring in. Good accounts shrink before they leave. And deals stall at one pipeline stage nobody measures.

Each leak needs different data and answers a different question, which is why one generic revenue dashboard rarely finds them. The table lists each with the question it answers and the data it needs.

Five places revenue leaks, and what each analysis needs
AnalysisThe question it answersData it needs
Price-volume-mixWhy did revenue or margin change from last year?Invoice lines with quantity, price and cost, for both periods
Discount leakageHow much did we give away, to whom, and who approved it?List prices, invoiced prices and rep or approver on each deal
Customer and product profitabilityWhich customers and products actually make money?Revenue, cost of goods and the service costs you can attribute
Churn and renewal riskWhich good accounts are drifting away?Order history or subscription and renewal dates by account
Pipeline conversionWhere do deals stall, and which reps or sources convert?CRM opportunities with stage history, dates and amounts

What is price-volume-mix analysis?

Price-volume-mix analysis splits a change in revenue or margin into three causes: you charged more or less per unit (price), you sold more or fewer units (volume), or the blend shifted toward cheaper or dearer products and customers (mix). It turns 'revenue was up 6 percent' into an explanation someone can act on.

There is more than one accepted way to calculate the split, and the choice changes the numbers. The method is agreed with your finance lead before the build and written into the report, so the bridge from last year's revenue to this year's always ties to the ledger.

How do the reports find the cause, not just the symptom?

By letting you drill from a total to the customers, products, reps or regions behind it in a few clicks. Power BI's decomposition tree visual is built for this: Microsoft describes it as valuable for ad hoc exploration and root-cause analysis, and it can suggest which dimension explains the highest or lowest values next.

Around that, a revenue analytics build usually includes:

  • A revenue bridge. Last period to this period, split into price, volume, mix and new or lost customers.
  • Realized price and discount pages. List price against invoiced price by customer, product and rep, with the discount that went out the door in dollars.
  • Customer and product profitability. Margin after the costs you can attribute, ranked, so the bottom of the list gets a decision.
  • Retention and renewal risk. Accounts buying less than they did a year ago, and renewals due with falling usage or orders.
  • Pipeline conversion. Win rates and time in stage from your CRM, so the stage where deals stall is visible.

How does a revenue analytics project run?

It follows four steps. First, the CRM, ERP and accounting data are combined and reconciled to the ledger. Second, the definitions are agreed, such as list price, realized price and attributable cost. Third, the reports are built and reviewed with sales and finance. Fourth, the people who own pricing and accounts are trained to use them in their regular meetings.

What you get is visibility, not a promised result. The reports show where the money is going; the decisions about prices, discounts and accounts stay with you. The one guarantee offered is on the working relationship for Power BI builds: dislike working with us within the first 4 hours and you get your money back. Later changes can run on Power BI Flex Support, from $2,500 for 20 hours, with hours that never expire.

Frequently asked questions

How much will revenue optimization analytics increase our revenue?

We don't promise a figure, and you should be wary of anyone who does before seeing your data. The analysis sizes each leak in dollars from your own numbers; what you recover depends on the decisions you make with it.

Our cost data is incomplete. Can we still do profitability analysis?

Usually, yes. Start with gross margin from cost of goods, which most accounting systems already hold, and add service costs where they can be attributed reliably. The report states which costs are included, so nobody mistakes a partial margin for a full one.

Which systems can you combine?

Most CRMs, ERPs and accounting systems that Power BI can connect to, directly or through exports, including Salesforce, Dynamics 365, HubSpot, QuickBooks and NetSuite. Discovery confirms how your data reaches the model and how often it refreshes.

Is this a one-off analysis or an ongoing report?

Both. The first build answers the question you came with, and because it is a live Power BI report on your data, it keeps answering it every month. Pricing reviews and account planning can then run from the same report.
