Riverside County BI Consulting for Contractors, Clinics and Multi-Site Businesses

When the project manager's spreadsheet, the accounting system and the bank balance tell three different stories, someone spends Friday afternoon reconciling instead of running the business. We build one version of the numbers instead.

Riverside County BI consulting from Lightray Solutions turns the systems you already pay for into a small set of Power BI reports your owners and managers trust: job cost and backlog for contractors, visits and collections for clinics, sales and labor by store for multi-site businesses. Edward Pinela, MBA, scopes and builds every project himself.

We work with companies from Riverside and Corona to Temecula, Murrieta and the Coachella Valley. Everything runs remotely, by video and inside your Microsoft tenant, which suits a county where driving from Corona to Palm Desert takes most of a morning.

“Great firm, they understood our company needs really quickly… their approach was very hands on…”

Which Riverside County businesses get the most from BI?

Data USA puts Riverside County at 2.48 million residents and 1.11 million employed in 2024. The three largest sectors are health care and social assistance (142,363), retail trade (135,741) and construction (102,084). Construction stands out: it is a bigger share of work here than in most of Southern California, and contractors are also the businesses most likely to be running on spreadsheets that no one else can read. The table below shows what each group usually asks for.

What does a contractor's job-cost dashboard show?

Every open job on one page: contract value, approved change orders, cost to date, committed cost and the projected margin at completion, with the jobs drifting the most at the top. Click a job and you see the cost codes behind it, the billing position and how much is still owed.

The numbers come from your accounting or construction system, so they match what your controller reports, and they refresh on a schedule. Weekly WIP meetings stop being about whose spreadsheet is current and start being about the three jobs that need attention.

How do you keep each location or project manager to their own data?

With row-level security, a Power BI feature that filters one shared report by the person signed in. A clinic manager sees one clinic, a superintendent sees their jobs, and the owner sees the whole company. Microsoft documents the setup in detail; we define the roles in the model, test each one as that role before rollout and give you a simple user list to maintain.

One report with security beats a separate copy per manager: when a definition changes, it changes everywhere at once.

How does a project run, start to finish?

Four stages, each approved before the next begins, so you never pay to build something nobody asked for.

  • Discovery. A screen-share review of your systems and current reports. You get the scope, the timeline and a fixed quote in writing.
  • Measures. One session to agree definitions such as projected margin, days in receivables or labor as a share of sales, with an owner named for each.
  • Build. Sources connected, the model built in your tenant, security roles set up and every headline figure reconciled to your books.
  • Rollout. Owners, office staff and field or clinic managers each get a session on the pages they will use, and a revision pass follows once the reports have run a few weekly meetings.

What does BI cost for a Riverside County business?

A single dashboard on clean accounting data is a small fixed-price project; joining a construction or practice system with accounting and payroll is a larger one. The quote after discovery is fixed and written, and nothing is billed by surprise.

If you already run Power BI and need help extending or fixing it, Power BI Flex Support starts from $2,500 for 20 hours at $100 to $125 an hour, and unused hours never expire. Power BI work is guaranteed: if you don't like working with us within the first 4 hours, you get your money back. Edward has 20+ years of business and data work behind him and 200+ delivered projects, and Lightray holds a 4.9★ Google rating.

Frequently asked questions

Will the job-cost numbers match our accounting system?

They should, and we check that they do. The model reads from your accounting or construction system rather than from copies, and before rollout each headline figure is reconciled to the reports your controller already trusts. Any gap is explained in writing, not hidden.

We have clinics in several cities. Can one report cover all of them?

Yes. One model covers every location, and row-level security decides what each manager can see. Leadership gets the company view and a comparison across sites; each clinic manager gets their own numbers without a separate file to maintain.

Do you meet clients in person in Riverside County?

No. All work is remote: discovery, workshops and training run by video with a shared screen, and the build happens in your own Microsoft tenant. Our business address is in Fullerton, and it is an address, not a meeting place.

We don't have an IT department. Is that a problem?

Not usually. Most of our clients don't. We need an administrator who can grant access to the source systems and approve Power BI licenses, and we document everything so you can maintain the reports or hand them to anyone later.
