Small Business BI Services in San Diego: Dashboards From the Tools You Already Use
You already have the numbers. They are in QuickBooks, the online store, the taproom register and three spreadsheets, and pulling them together takes most of Sunday evening. Business intelligence for a small firm should give that evening back.
Small business BI services in San Diego from Lightray Solutions turn the tools a small firm already runs, QuickBooks, Shopify, a point-of-sale system and the spreadsheets around them, into a handful of dashboards that answer the owner's weekly questions: are we profitable this month, where is the cash, what is selling and which customers are slipping away.
The work is done in Power BI or Excel, whichever is enough. Power BI suits firms that want several sources on one refreshed page; for a single-owner business a well-built Excel workbook is often all it takes. Edward Pinela, MBA, recommends the cheapest option that will hold up, then builds it himself, remotely.
Projects are quoted at a fixed price after a short discovery. The first step is a free 30-minute strategy call: send the form on this page or phone us, and you will hear back within 4 business hours.
“Amazing! Lightray Solutions built us a Power BI dashboard based on my busy restaurant’s quickbooks data that allows me to see my entire business on a daily basis which has been a game-changer! Excellent communication and service!”

What do small business BI services actually include?
Three things: connecting your sources so data flows without copy-and-paste, defining the handful of figures that matter (gross margin, cash on hand, sales by channel, repeat customers) so they mean the same thing every week, and building one or two dashboards around them. Training and written documentation close the job, so you are never dependent on us.
Most small firms start with a single page: last week against the same week last year, margin by product or service, receivables by age, and cash against upcoming bills. More pages follow only once the first has earned its place in the Monday routine.
Which San Diego businesses get the most from it?
San Diego County had 3.29 million residents and 1.59 million employed people in 2024, according to Data USA, with health care, professional and technical services, and manufacturing the three largest sectors. Underneath those totals sit small firms whose reporting needs are very specific, and the table below lists the most common.
Craft breweries want to compare taproom, distribution and events by margin, not just volume. Tourism businesses from charters to small hotels need each week set against last year, with the convention and summer calendar beside it. Small defense and biotech subcontractors in Carlsbad, Oceanside or Sorrento Valley want contract burn against budget and cash timing on invoices to primes. Retailers and service firms from Chula Vista to Escondido mainly want margin and cash on one page.
| Business | First dashboard shows | Usual sources |
|---|---|---|
| Craft breweries | Margin by channel (taproom, distribution, events), top styles, keg and can sales by account | Point of sale, brewery management software, QuickBooks |
| Tourism and hospitality firms | Bookings and revenue by week against last year, channel mix, average booking value | Booking platform, point of sale, accounting |
| Defense and biotech subcontractors | Contract burn against budget, invoices to primes by age, backlog | QuickBooks or accounting, timesheets, project spreadsheets |
| Online and local retailers | Sales and margin by product, repeat customers, slow stock | Shopify or point of sale, inventory spreadsheets |
| Service firms and trades | Revenue by service and technician, receivables by age, cash against bills | QuickBooks, field-service or scheduling software |
How do you connect QuickBooks, Shopify and spreadsheets?
It depends on the tool, and the picture has changed recently. Microsoft lists Power BI's QuickBooks Online (Beta) connector as retired since August 2025, so QuickBooks data now reaches Power BI through scheduled report exports to OneDrive or SharePoint, or through a supported third-party connector. Shopify exports reports directly, so a scheduled export to the same folder keeps the store's figures current.
Spreadsheets are welcome as a source when each one keeps a steady layout. Part of the job is tidying a hand-kept workbook into a simple table that will not break the dashboard when someone inserts a column. Where a defense or biotech subcontractor handles controlled information, only business figures enter the dashboard, and what counts as business data is your call.
Is BI worth it for a business with fewer than 20 people?
Often, yes, as long as the scope matches the size. If the owner or bookkeeper spends two or more hours a week assembling the same figures, or decisions wait for month-end because nobody trusts mid-month numbers, a small dashboard pays for its setup by removing that work and shortening the wait.
Where it is not worth it, we say so. A business with one sales channel, simple costs and an accountant who already sends a clear monthly report may only need a better template for that report. The discovery call is free precisely so that question gets answered before anyone spends money.
What does it cost, and how does it run?
Every project is quoted at a fixed price after a short discovery, scaled to the number of sources and dashboards. Firms that choose Power BI can also use Power BI Flex Support, from $2,500 for 20 hours at $100 to $125 an hour, for the build and later changes; the hours never expire.
Discovery is a screen-share look at your tools and reports; then come definitions, the build, a reconciliation of every headline figure to your books and a recorded walkthrough. The track record behind it: 20+ years of Edward's experience, 200+ projects and a 4.9★ Google rating. If you have already settled on Power BI, our Power BI consulting in San Diego page covers that work in more depth, and North County firms can also see Power BI consulting in Oceanside.

Frequently asked questions
How much do small business BI services cost?
They are quoted at a fixed price after a short discovery. A single dashboard on QuickBooks and one other source is a modest project; several systems and locations take more. The quote spells out what is included; if the chosen tool has a subscription, you hold it in your own name.
Which tool will you recommend?
The one that fits your existing setup at the lowest total cost. Power BI suits offices with several data sources and grows furthest; Excel is fine for a single-owner business with one or two. We explain the trade-offs before you commit.
How quickly will we have a dashboard?
With clean exports, a first page is usually ready within a few weeks of discovery. Most of the time goes into agreeing definitions and checking totals against your books, which is what makes the numbers trustworthy.
Do you meet clients in San Diego?
No. All work is remote, by video with a shared screen and in accounts you own, which keeps costs down for a small business. Our business address is in Fullerton and is not a meeting place.
What do you need from us?
An owner or manager who can decide what matters, report or admin access to your accounting, store and point-of-sale systems, the spreadsheets you rely on today, and about an hour across the first two weeks.
You Won’t Get Handed Off to Junior Staff.
At most consulting firms, the senior person who sold you shows up for the kickoff — then you get handed to a team of juniors learning on your dime. That’s not how we work.
