Small manufacturer reporting

Power BI for Small Manufacturers: A First Dashboard the Owner Will Open Every Morning

The owner wants to know which orders will ship late, which jobs lost money and how much went in the scrap bin last week. The answers exist, scattered across the accounting system, a scheduling spreadsheet and a clipboard by the press brake.

Power BI for small manufacturers is about getting a shop of 10 to 150 people from scattered reports to a single page the owner and plant manager trust: orders at risk of shipping late, scrap and rework by part and cause, a simple measure of how well the key machines are used, and margin by job and product. Lightray Solutions builds it from the data you already have, not from new sensors.

Edward Pinela, MBA, scopes and builds every dashboard himself, remotely and inside your own Microsoft tenant. You get a fixed price after a short discovery, or you can work from a block of prepaid hours.

“Amazing! Lightray Solutions built us a Power BI dashboard based on my busy restaurant’s quickbooks data that allows me to see my entire business on a daily basis which has been a game-changer! Excellent communication and service!”

— Quinn R., Google review

What should a small manufacturer's first Power BI dashboard show?

Four things, on one page: on-time delivery for the last few weeks and the open orders at risk, scrap and rework by part and reason, a simple OEE view of the constraint machines, and margin by job or product against the estimate. Each can be drilled into, but the top page answers the morning question in under a minute.

OEE (overall equipment effectiveness) multiplies availability, performance and quality into one percentage. A full OEE system needs machine data; a small shop rarely has it, and does not need it to start. An OEE-lite view built from scheduled hours, logged downtime, parts produced and parts scrapped is honest about its precision and still shows which machine is the bottleneck. The table below shows where each page's data usually comes from.

Can Power BI work with QuickBooks and spreadsheets?

Yes, although not quite the way older guides describe. Microsoft retired Power BI's QuickBooks Online (Beta) connector in August 2025, according to its connector end-of-support list. Small manufacturers on QuickBooks now feed Power BI through scheduled report exports saved to OneDrive or SharePoint, or through a supported third-party connector, and either route refreshes on a schedule.

Many shops keep the schedule, the scrap log and the downtime log in Excel. That is fine as a source, provided each sheet keeps one layout. Part of the work is turning a free-form workbook into a simple, consistent table, or a short form on a tablet, so the dashboard does not break when someone adds a column. Shops with an ERP usually have saved reports or database views we can read directly.

How current will the numbers be?

As current as the sources. On a Power BI Pro licence a report can refresh up to 8 times a day on a schedule, according to Microsoft's documentation; Premium per user allows 48. For a small shop that means the morning page reflects yesterday's shipments and scrap, plus updates during the shift if the logs are kept as work happens.

We do not promise real-time machine monitoring on this kind of project. If you later want live data from the floor, that is a capture project in its own right, covered by our manufacturing KPI tracking system work.

What does it cost, and what is the guarantee?

A first dashboard is quoted at a fixed price after a short discovery, scaled to the number of sources and how clean they are. Many small manufacturers prefer Power BI Flex Support, from $2,500 for 20 hours at $100 to $125 an hour; the hours never expire, so a block can cover the first build and later changes.

The guarantee is simple: if four hours into the Power BI work you don't like working with us, you get your money back. Behind the offer sit Edward's 20+ years of business and data work, 200+ finished projects and a 4.9★ rating from clients on Google.

Where does a shop go after the first dashboard?

Usually in one of three directions, chosen once the first page has been used for a month or two: deeper job costing that ties labour and material to each work order, a wider KPI set with structured capture on the floor, or a regional view across several plants. The first dashboard's data model is built so each of these extends it rather than replacing it.

For multi-plant and regional reporting, see Southern California manufacturing analytics. If spreadsheets remain the main obstacle, an Excel to Power BI migration is often the cheapest next step.

Frequently asked questions

We are a 25-person shop. Is Power BI overkill?

Not if it stays small. Power BI Desktop is free to build in, and sharing reports in a small company usually means a Power BI Pro licence for each person who views them. A one-page dashboard on two or three sources is a modest project, and it replaces the hours someone spends assembling the same figures by hand each week.

How long does the first dashboard take?

With reasonably clean exports, a first version is usually ready within a few weeks of discovery. Most of the time goes into agreeing definitions, such as when an order counts as late, and checking the totals against your accounting, not into building charts.

Do you visit the plant?

No. All work is remote: a screen-share tour of your systems and spreadsheets, short video calls with the people who keep the logs, and the build in your own Microsoft tenant. Photos of a paper log or a whiteboard are often all we need to understand the floor.

What do you need from us?

An owner or manager who can make decisions, access to your accounting or ERP reports, copies of the spreadsheets you use today, and someone on the floor who can answer questions about how the logs are kept. You do not need an IT department.
