Guide for nonprofits

Tableau Nonprofit Pricing vs Power BI for Nonprofits: What Each Program Gives You in 2026

A board member asked why the dashboard budget is a line item at all when both vendors advertise nonprofit programs. The honest answer: one publishes a nonprofit price, the other mostly doesn't, and the difference changes the total more than any feature comparison.

Tableau nonprofit pricing is not published as a price list. Salesforce's analytics pricing page shows no nonprofit rate, so most nonprofits reach Tableau through one of two doors: TechSoup's donation program for the desktop software, or Tableau seats bundled into some Salesforce Nonprofit Cloud editions. Microsoft, by contrast, publishes a nonprofit price for Power BI Pro: $4.20 per user per month, against $14 commercially.

A disclosure before the numbers: Lightray Solutions builds in Power BI, so treat this as an informed view rather than a neutral one. Every figure below comes from the vendor's own page, checked on October 10, 2026; programs change, so confirm eligibility before you budget.

What does Tableau cost a nonprofit?

It depends on which route you qualify for, and only one route has a visible price. Tableau Cloud lists from $15 per user per month, billed annually, on Salesforce's analytics pricing page, with no nonprofit rate shown. Builder licenses cost more: published 2026 price guides put the standard-edition Creator at $75, though Salesforce's page itself shows only the starting price. Any nonprofit discount beyond that is negotiated with Salesforce sales.

The donation route runs through TechSoup. Its US Tableau program offers the Tableau Desktop and Tableau Prep Builder two-year subscription to validated nonprofits with annual operating budgets of $5 million or less, up to five donated products per fiscal year running July to June, for a TechSoup administrative fee. That gives you the authoring software; sharing dashboards online with staff still needs Tableau Cloud or Server licenses.

Salesforce's Power of Us program donates 10 Enterprise Edition licenses, but of Agentforce Nonprofit or Sales and Service, not Tableau. Some paid Nonprofit Cloud editions include Tableau features, which is the strongest case for Tableau if you already run on Salesforce.

What does Microsoft offer nonprofits for Power BI?

A published discount on every license a reporting project touches. Microsoft's offers for nonprofits page lists Power BI Pro at $4.20 per user per month, Power BI Desktop free, Microsoft 365 Business Basic free for up to 300 users and Business Premium at $5.50 per user per month, paid yearly. Microsoft 365 E5 lists at $24 for nonprofits and already includes Power BI Pro.

There is also a $2,000 annual Azure grant, which can cover a small database for data that doesn't live in a cloud app. Eligibility runs through Microsoft's own nonprofit verification, so register and check the current rules on Microsoft's page before you budget around these prices.

What does a 25-person nonprofit pay for each?

Take a nonprofit where 3 staff build reports and 22 read them: development, programs and finance leads, plus board members with staff accounts. On published prices, before any negotiated discount, the gap is wide. The table sets the two side by side; for commercial list prices and a larger example, see our Tableau vs Power BI cost analysis.

Which platform fits a nonprofit better?

Choose by where your staff and donor data already live. If your email and documents are in Microsoft 365 and your finance team works in Excel, Power BI's nonprofit pricing and familiar interface usually win. If your donor database is Salesforce Nonprofit Cloud on an edition that includes Tableau, the license question may already be answered.

Two situations favor Tableau even at a higher cost: an analyst on staff who already knows it well, and a library of working Tableau dashboards that would cost more to rebuild than to keep. Otherwise, on published prices a small nonprofit spends far less on Power BI, and staff who already know Excel tend to find it familiar. The deciding factor is often who maintains the reports after the consultant leaves.

Frequently asked questions

Does Tableau donate licenses to nonprofits?

In the US, through TechSoup: eligible nonprofits with budgets of $5 million or less can request the Tableau Desktop and Prep Builder two-year subscription for an administrative fee, up to five donated products per July to June fiscal year. Sharing dashboards online still requires Tableau Cloud or Server licenses.

Is Power BI free for nonprofits?

Power BI Desktop is free for everyone, nonprofit or not. Sharing reports with colleagues needs Power BI Pro, which Microsoft lists at $4.20 per user per month for nonprofits. If your nonprofit buys Microsoft 365 E5 at the nonprofit rate, Pro is already included.

Do nonprofit discounts cover consulting or setup?

No. Both vendors discount software, not the work of connecting your donor, finance and program data and building the reports. That work is quoted separately; a first set of dashboards often fits in a prepaid block of Flex Support hours.

What do you need from us to start?

A list of the questions your board and funders ask most, read access to the CRM and accounting exports involved, and an hour with whoever prepares the current reports. On the strategy call we also check whether your licensing is already in place under Microsoft's nonprofit program.
