Annual Report Automation: The Numbers Pages, Refreshed From Your Data
Every year the annual report starts the same way: someone exports last year's figures, rebuilds the charts by hand, retypes the totals into the layout and then spends a week checking that page 4 agrees with page 12.
Annual report automation means the numbers in your annual report come from your systems instead of being retyped: the financial summary, the key figures, the program or segment pages and the charts are built once, checked once, and refreshed each year from the same data your accountant uses. Lightray Solutions builds this in Power BI for nonprofits, associations and companies.
The words stay human. Your letter from the chair, the stories and the design are yours; what goes away is the copying, retyping and cross-checking of figures. Edward Pinela, MBA, builds every report himself.
The first step is a free 30-minute strategy call. You then get a written scope and a fixed price after a short discovery, ideally a few months before your report is due.
Which parts of an annual report can be automated?
The parts that are numbers: financial highlights, multi-year comparisons, revenue and expense breakdowns, program or segment results, membership or donor counts, and every chart built from them. Those can be generated from a reconciled data model. The narrative, the photography and the design decisions cannot, and should not be.
The table maps the usual sections of an annual report to where their figures come from and how each is produced. Counting the pages in your last report that carry retyped figures is a quick way to size the job.
| Section | Where the figures come from | How it is produced | Who still writes or approves it |
|---|---|---|---|
| Financial highlights and multi-year summary | Accounting system, reconciled to the trial balance or audited statements | Paginated report page, exported to PDF or Word | Finance lead approves; auditor's statements remain the authority |
| Revenue and expense breakdown | General ledger mapped to report categories | Paginated table and charts from the shared model | Finance lead |
| Program, segment or KPI pages | CRM, program databases or operational systems | Paginated pages or charts, one template per program | Program leads write the commentary |
| Donor, member or customer counts | CRM or membership system | Measures in the shared model | Development or membership lead checks definitions |
| Chair or CEO letter, stories, photos | Your people | Not automated | Your leadership and designer |
How does annual report automation work in Power BI?
A single semantic model holds the reconciled figures, and each output reads from it, so a total cannot differ between pages. Fixed-layout pages are built as Power BI paginated reports, which Microsoft describes as designed for printing or sharing, with exact control of the page layout and every row printed, however long the table.
From there you choose the output that fits your production process:
- Paginated report pages. Exported from the Power BI service to accessible PDF, PDF, Word, Excel or PowerPoint, ready to drop into the designed document or publish as an appendix.
- Excel linked to the model. Analyze in Excel creates a workbook whose PivotTables stay connected to the semantic model and refresh inside Excel, for finance teams who want to work in a spreadsheet. It respects row-level security.
- Charts for the designer. Charts produced to a consistent style and size each year, so the layout can be reused rather than rebuilt.
- A web or board version. The same model can feed an interactive report for the board or members, so the annual figures are not a once-a-year artefact.
How are the figures checked?
Before any page is designed, the model's totals are tied out to the trial balance or the audited statements for the year, and to the prior year's published report so comparatives match what readers saw last time. Differences are traced, written down and agreed with your finance lead or controller.
Once that check exists, it runs every time the data refreshes. In later years the work is a refresh, a review and a sign-off rather than a rebuild. This is reporting work, not accounting or audit advice: your auditor still audits, and your accountant still owns the accounting judgments.
Who uses annual report automation?
Nonprofits whose annual report pairs financial summaries with program results and donor figures; associations reporting membership, events and finances to members; and privately held companies producing an annual review for owners, lenders or employees. What they share is a document that repeats every year with new numbers in the same places.
Organizations already working on their year-end close can combine the two: year-end business intelligence reporting covers the internal board pack, and the annual report reads from the same model. Nonprofits can see our wider nonprofit business intelligence work too.
What does it cost?
The first year is a fixed-price project quoted after discovery, sized by data sources, pages and output formats. Later years cost little: the model refreshes, and changes, such as a new program or a new page, can run on Power BI Flex Support, from $2,500 for 20 hours ($100 to $125 an hour, and the hours never expire).
Power BI work comes with a guarantee: if you don't like working with us within the first 4 hours, you get your money back. All work is remote, and Lightray holds a 4.9★ Google rating.

Frequently asked questions
Does this replace our auditor or accountant?
No. Your auditor still audits the financial statements and your accountant still makes the accounting judgments. Annual report automation takes the reconciled figures and produces the report pages from them, so the report agrees with the statements without being retyped.
Can the output go into our designed InDesign or Word layout?
Yes. Paginated reports export to Word, Excel, PowerPoint and PDF, and charts can be produced at fixed sizes for your designer. Discovery agrees which pages are generated whole and which feed figures or charts into the designed layout.
What Power BI licenses do we need?
Publishing paginated reports to a shared workspace needs a Power BI Pro or Premium Per User license and at least a Contributor role, per Microsoft. Report Builder itself is a free download. Discovery checks your current licensing before anything is designed.
When should we start?
Three to four months before the report is due is comfortable, because the first year includes agreeing definitions and reconciling to the prior year's published figures. Starting while the year is still running lets most of the build happen before the deadline pressure arrives.
