Excel to Power BI migration

Excel to Power BI Migration: Stop Rebuilding the Same Spreadsheet Every Month

Every month someone exports data, pastes it into the master workbook, fixes the broken lookups and emails version 14 to the team. We move that reporting into Power BI so it refreshes itself, and we prove the totals match your spreadsheets before anyone switches over.

Excel to Power BI migration moves the reports your team rebuilds by hand in spreadsheets into Power BI, where data refreshes on a schedule, each calculation is defined once, and everyone opens the same version. Lightray Solutions inventories your workbooks, rebuilds their logic in a Power BI model, and reconciles every total before you retire the spreadsheet.

Excel stays useful after the move. It remains the right tool for one-off analysis, and people who think in pivot tables can keep using them on top of the new Power BI model.

The migration is quoted in writing, workbook by workbook, after a free 30-minute strategy call; that call is where to begin, and you can request it through the form or by phone. If you only want a senior pair of hands for a report or two, Power BI Flex Support is sold from $2,500 for 20 hours.

When has a spreadsheet report outgrown Excel?

Excel is excellent for personal analysis. It struggles when a workbook turns into a shared system that several people depend on every week, fed by manual exports and held together by lookups only one person understands. At that point the spreadsheet has become a reporting system without the controls of one. The signs are familiar:

  • Someone spends hours or days each month copying exports into the master file
  • Lookups break when a column moves or a new product code appears
  • Several copies of the workbook circulate and nobody is sure which one is current
  • The file is slow to open, or is creeping toward Excel's limit of 1,048,576 rows per worksheet
  • Only one person understands the formulas, and reporting stops when they are on vacation
  • Managers want to filter by region or customer, which means yet another tab or another file

What should move to Power BI, and what should stay in Excel?

Move the recurring reports built from system exports; keep planning models, what-if scenarios and anything people type data into in Excel. Hand-maintained lists such as budgets can stay in Excel and feed Power BI. Not every workbook should migrate, so during the inventory we sort your spreadsheets into three groups:

  • Move. Recurring reports built from system exports, such as monthly sales, budget vs. actual, inventory, receivables aging and pipeline reports. These gain the most from scheduled refresh.
  • Connect, do not move. Lists and targets people maintain by hand, such as budgets, quotas or product mappings. These can stay as Excel files in SharePoint or OneDrive and feed the Power BI model.
  • Leave in Excel. One-off analyses, scenario and what-if models people type into, and anything that needs manual data entry. Power BI is a reporting tool, not a data entry tool.

How do Excel formulas and pivot tables translate to Power BI?

The logic in your workbook is the valuable part, so we rebuild it rather than copy it. The main shift is that calculations move out of cells and into measures, which are defined once and work at any level of detail: by month, by region, by customer, or all three at once.

Most spreadsheet techniques have a cleaner Power BI equivalent, shown in the table below.

How common Excel techniques translate to Power BI
In ExcelIn Power BIWhat changes for you
VLOOKUP, XLOOKUP or INDEX-MATCH between sheetsRelationships between tables in the data modelNo lookup formulas to break when columns move
SUMIFS, COUNTIFS, AVERAGEIFSDAX measuresDefined once, correct at every level of detail and filter

Pasting in monthly exportsA Power Query connection to the source, with scheduled refreshNo manual monthly update
Power Query steps already in the workbookThe same Power Query (M) steps in Power BIExisting cleanup logic is usually reusable

How does an Excel to Power BI migration work?

One report at a time, in five steps: inventory, tracing the logic, rebuilding in Power BI, reconciling against the workbook, and switching over with training. We start with the report that costs the most hours or causes the most errors, so you see value before the whole set is done.

  • 1. Inventory and priority. We list the workbooks, who uses each one, where its data comes from, and how long it takes to update.
  • 2. Trace the logic. We document every formula, lookup, manual adjustment and hidden tab, and confirm with the owner what each one is meant to do. Undocumented manual fixes are the most common cause of later mismatches.
  • 3. Rebuild in Power BI. Power Query connects to the original sources instead of the exports where possible, relationships replace the lookups, and DAX measures replace the formulas.
  • 4. Reconcile. We run the old workbook and the new report side by side for the same period and compare totals line by line. Every difference is explained and resolved before sign-off.
  • 5. Switch over and train. Scheduled refresh set up, access granted, a hands-on session for the people who used the spreadsheet, and the old file archived rather than deleted.

When is a migration not worth it?

If a spreadsheet is used by one person, updated once a quarter, and takes twenty minutes, leave it alone. If the business process behind it changes every month, stabilize the process first. In both cases a migration would cost more than the time it saves.

And if only one or two people would ever look at the report and nobody has a Power BI license, a well-structured workbook that pulls from its source with Power Query may be enough. We will tell you that on the call.

Why work with Lightray Solutions on the move off spreadsheets?

Migrations fail on the details: a manual adjustment in a hidden column, a lookup that quietly returns the wrong row, a total that finance has always corrected by hand. Edward Pinela, MBA, traces that logic himself and runs the reconciliation himself, drawing on 20+ years of experience and 200+ delivered projects; clients give Lightray a 4.9★ rating on Google.

  • Reconciled before sign-off. Totals compared with the original workbook for the same period, with differences explained in writing.
  • Your team trained. Hands-on sessions for report users, and for anyone who will maintain the model.
  • No long-term contracts. After handover, occasional help is available through Power BI Flex Support, from $2,500 for 20 hours.
  • Direct replies. You hear back within 4 business hours.

Frequently asked questions

Can Power BI handle our complex Excel formulas?

Yes, but they are rebuilt, not copied. Formulas become DAX measures or Power Query steps, and lookups become relationships between tables. We document each original formula, rebuild it, and confirm the result matches the workbook for the same period. With Analyze in Excel, people who prefer pivot tables can still use them on the new model.

Our spreadsheets live in SharePoint or OneDrive. Do we need a gateway?

Usually not. Power BI can refresh from cloud sources such as SharePoint Online and OneDrive without a gateway. Files on a local network drive, or data in an on-premises database, need the on-premises data gateway, which we install and configure.

How do we know the numbers are right after the move?

We reconcile. The old workbook and the new report run side by side for the same period, totals are compared line by line, and every difference is explained and either fixed or documented before sign-off. Differences often turn out to be manual adjustments in the spreadsheet that nobody had written down.

What does an Excel to Power BI migration cost, and how long does it take?

Both depend on how many workbooks move, how many sources feed them, how much hidden manual logic they contain, and how many people need training. One well-understood report is a much smaller job than a set of linked workbooks. Cost and timeline are set out in a written, itemized scope after the free strategy call; Power BI licenses are billed separately by Microsoft.

Can the migration be done remotely, and what do you need from us?

Yes, it is delivered remotely. We need copies of the workbooks, read access to the systems their exports come from, and time with each spreadsheet's owner to walk through the formulas and manual adjustments. Access is granted by your administrator and can be withdrawn at any time, and the finished reports live in your own tenant.
