On-Demand BI Support: Senior Help When a Power BI Report Breaks
The Monday report didn't refresh, the sales total is off by one region, and the person who built it left in the spring. You don't need a project. You need someone who can find the cause today and explain it.
On-demand BI support is help you call on when something in an existing reporting setup stops working or needs to change, with no contract or project to set up first. Lightray Solutions provides it for companies already running Power BI: Edward Pinela, MBA, diagnoses the problem inside your own tenant, fixes it, and writes down what caused it.
It runs on Power BI Flex Support hours: prepaid blocks from $2,500 for 20 hours at $100 to $125 an hour, which never expire, so the time is already in place when something breaks. You hear back within 4 business hours of a request. Not on Flex yet? Start with a free 30-minute call.
What does on-demand BI support fix?
Most calls fall into five groups: a refresh that failed or was switched off, a total that no longer matches finance, a report whose builder has left, an urgent change, and a slow report. Each starts with a diagnosis, because the symptom is rarely the cause. The table pairs each symptom with its usual cause and fix.
| Symptom | Usual cause | What gets done |
|---|---|---|
| Refresh failed, or the schedule shows Disabled | Expired credentials, an offline gateway, or four failures in a row | Fix the cause, restore credentials, re-enable the schedule |
| Report quietly stopped updating | Nobody opened it for two months, so the schedule was paused | Resume the schedule and confirm the report is still needed |
| Totals don't match finance | A changed source column, a stray filter, or a measure written for last year's structure | Trace the figure to source, correct it, document the definition |
| The person who built it left | The model is owned by a disabled account and nothing is documented | Move ownership to an active account, re-enter credentials, document the model |
| A new KPI is needed before Thursday | A small change, but nobody in-house knows the model | Make the change, test it against known figures, publish |
| Pages take ages to load | Oversized imported tables, heavy visuals or slow measures | Profile the report, tune it, recommend model changes if needed |
Why do Power BI refreshes fail?
Mostly for unglamorous reasons. Microsoft's documentation lists the usual ones: data-source credentials that expired or changed, an on-premises gateway that went offline, and refreshes that run past the two-hour limit on shared capacity. Power BI also turns a schedule off after four consecutive failures, and pauses it after two months in which nobody viewed the reports.
Failure notices go by email to the semantic model owner. When that owner has left the company, nobody reads them, which is how a broken refresh goes unnoticed for weeks. Part of every fix is making sure the next failure reaches someone who will act on it. The details are in Microsoft's scheduled refresh documentation.
How quickly does support respond?
You get a reply within 4 business hours, with first questions or a plan. How long the fix takes depends on the cause: an expired credential takes minutes once access is sorted, while a total that stopped matching can take a few hours of tracing. Because time comes from a prepaid block, no purchase order holds up the start.
This is business-hours help for the person responsible for the reports, not a round-the-clock help desk for every report viewer. If the same problem keeps coming back, the write-up says why, and what it would take to stop it.
How is it different from hourly consulting or a retainer?
On-demand support is reactive: something broke or needs a quick change, and you want it handled now. An hourly BI consultant engagement covers planned work billed by the hour, such as a new report page or a model review. A BI consulting retainer is a standing monthly arrangement. Support and hourly work draw on the same Flex block.
How does a support request work?
Four steps, all remote. Nothing is installed on your machines, and access is granted by your own administrator and removed when you choose. You stay in control of what Edward can see and change throughout, and every step leaves a written record you can share with your IT lead.
- Describe the symptom. Which report, what you expected to see, what you see instead, and a screenshot if you have one.
- Grant access. Your administrator adds Edward to the workspace with the role the fix needs; Contributor covers editing content and scheduling refresh, and can be removed afterwards.
- Diagnose and fix. Progress updates by email, and a call with screen sharing when it's quicker.
- Write-up. What broke, why, what changed, and the hours used from your block.

Frequently asked questions
Do we need to buy hours before something breaks?
It helps, because work can then start the moment a problem arrives. If you haven't, the first call covers the problem and the block is set up before work begins. Unused hours stay on your account and don't expire.
Can you help if someone else built our reports?
Yes, and that's the usual case. Most requests concern reports built by a former employee or another provider. The first hour often goes on understanding the model, and that understanding is written down so the next fix is faster.
Do you need admin rights to our Microsoft tenant?
Usually not. Workspace access covers most fixes. Gateway and tenant settings need your administrator, either making the change with guidance or granting temporary permission and revoking it afterwards.
What if the report really needs a rebuild?
Then you're told so, with the reason, rather than paying for patch after patch. A rebuild is quoted at a fixed price after a short discovery, which usually costs less than drawing the same work out of support hours.
