Salesforce CRM Setup Services for an Org Your Team Can Actually Use
Salesforce can model almost any sales or service process, which is exactly why so many orgs end up cluttered: page layouts with dozens of fields, automations that fight each other, and everyone logged in as an administrator. We set Salesforce up, or straighten it out, so reps see what they need, managers trust the reports, and the org stays maintainable.
Our Salesforce CRM setup services configure Salesforce around your sales and service process: objects and fields, page layouts, record types, user access, Flow automation, reports and dashboards, a clean data import and role-based training. Edward Pinela, MBA does the work himself, whether you are launching a new org or straightening out one that grew without a plan.
Salesforce rewards design discipline. Every field, rule and report someone asks for is easy to add and hard to remove later, so the setup decisions made early decide whether the org stays usable in year three. We make those decisions with you, write them down, and build only what your process needs. Nothing is built before a free 30-minute strategy call and a written quote; there is no off-the-shelf Salesforce package price, because two orgs rarely need the same work.
What makes a Salesforce org hard to use?
Rarely the platform itself. The usual causes are years of unreviewed requests layered on a setup nobody documented. Reps scroll past fields that were added for one report, managers export to Excel because the dashboards disagree, and a change to one automation breaks something else that fires on the same record.
Some warning signs we look for in the first review:
- Page layouts where reps must scroll past fields they never use
- Workflow Rules, Process Builder processes and flows all firing on the same object
- Many users with System Administrator or broad custom profiles
- Picklist values that vary by rep, so reports split one category into five
- Leads, accounts and contacts duplicated by several past imports
- No sandbox testing, so changes are made directly in production
What does a Salesforce setup project cover?
Every engagement is scoped to your edition, your teams and your process. A setup project turns your sales and service process into Salesforce configuration: the objects and fields reps work in, who can see what, the automation that routes and reminds, and the reports leadership reads. The work usually includes:
- Process mapping: how leads arrive, how opportunities move, how cases are handled, and which numbers leadership needs, agreed before configuration starts.
- Sales Cloud configuration: leads, accounts, contacts and opportunities, sales stages with clear exit criteria, products and price books where you sell from a catalog, and lead assignment rules.
- Service Cloud configuration: cases, queues, assignment and escalation rules, and email-to-case, so support requests stop living in personal inboxes.
- User access: roles, profiles, permission sets and sharing rules designed so people see what their job requires and nothing more.
- Automation in Flow: record-triggered and scheduled flows for routing, follow-up tasks, approvals and notifications, with validation rules to keep data clean at entry.
- Page layouts and Lightning record pages: short, role-specific layouts so the fields a rep needs are the fields a rep sees.
- Data import: cleaned, deduplicated and mapped data loaded with the right tool for the volume. See our CRM data migration services for larger moves.
- Integrations: email and calendar, website lead forms, and accounting or ERP connections through AppExchange apps, middleware or the API, depending on your edition.
- Reports, dashboards and training: reports on agreed definitions, dashboards per role, and hands-on training for reps, managers and your admin.
New Salesforce org or existing one: where does the work start?
A new org starts with design: we agree the data model, stages, access and automation on paper, build in a sandbox where your edition includes one, and load data last. An existing org starts with an audit of what is used, what fires on each object, who sees what, and where data breaks.
The table shows how the same areas are handled in each case.
| Area | New org setup | Existing org cleanup |
|---|---|---|
| Automation | Build in Flow from the start, one clear flow design per object | Inventory Workflow Rules, Process Builder and flows, then consolidate and migrate to Flow |
| Data | Clean and deduplicate before the first import | Find and merge duplicates, standardize picklists, fix broken relationships |
| User access | Roles and permission sets designed around job functions | Review who holds admin rights and broad profiles, then tighten access |
| Page layouts | Short, role-specific layouts from day one | Remove unused fields from layouts and retire fields nobody fills in |
| Reports and dashboards | Built on agreed stage and status definitions | Retire unused reports and rebuild the dashboards leadership relies on |
| Testing and release | Build and test in a sandbox where your edition includes one | Introduce sandbox testing so production is no longer edited directly |
Is it time to move old automation to Flow?
If your org is more than a few years old, probably yes. Salesforce ended support for Workflow Rules and Process Builder on December 31, 2025, and recommends Flow Builder for all automation. Existing rules and processes may keep running, but Salesforce no longer provides customer support or bug fixes for them.
That leaves many orgs with business-critical automation on retired tools, often duplicated by newer flows on the same object. Salesforce provides a Migrate to Flow tool, which helps with the mechanical conversion, but the useful work is deciding what each old rule is for, consolidating overlapping logic into fewer flows, and testing in a sandbox before anything changes in production. We inventory, consolidate, migrate and document, so the next person to touch your automation can see what it does.
When is Salesforce not the right fit?
Salesforce earns its complexity when you have several teams, products, territories or approval steps, or a process that needs custom objects and logic. If your team is small, your pipeline simple and nobody will own administration after launch, a lighter CRM usually costs less and gets used more.
Our HubSpot implementation page covers that route, and the HubSpot vs Salesforce comparison sets the two side by side. We will also tell you if your existing org can be fixed rather than replaced. Switching platforms because the current setup is messy usually moves the mess.
Why work with Lightray on Salesforce?

- Senior-led: Edward Pinela, MBA runs discovery, builds the configuration and trains your team. No hand-off to junior staff.
- Reporting that reaches past Salesforce: when opportunity data needs to sit beside finance or operations data, we connect it to Power BI. See Salesforce and Power BI integration.

Frequently asked questions
How much do Salesforce CRM setup services cost?
There is no published package price. Cost follows scope: the teams and clouds involved, the condition of your data, the number of integrations and how much training you need, and cleaning up an existing org is usually a smaller job than a full rollout. You receive a written quote after the free strategy call. Salesforce licenses are bought from Salesforce and are separate from our fees; we tell you which edition your design needs, because features such as API access and sandboxes vary by edition.
How long does Salesforce setup take?
It depends on the number of teams and processes, how much data you are bringing in, and how many integrations are needed. A focused Sales Cloud setup for one sales team is much quicker than a combined sales and service rollout with an ERP integration. Your written scope includes a timeline with milestones, agreed before work starts.
How do you get our existing data into Salesforce?
We clean and deduplicate first, map every field, then load a small test file you check before the full import. Salesforce's Data Import Wizard handles up to 50,000 records at a time for accounts, contacts, leads, solutions, person accounts, campaign members and custom objects; Data Loader handles larger volumes and other objects. We choose the tool per object and volume, and we work under a user account you create and can deactivate at any time.
Is the work remote, and what do you need from our side?
Yes. Salesforce setup is done remotely: discovery workshops over video, configuration in your org, and live training sessions your team can record. From your side we need a System Administrator login, exports of your current data, one owner who signs off on design decisions, and a named person who will administer the org after launch.
Can you take over an org another consultant built?
Yes. We start with an audit of objects, automation, access and data quality, then give you a prioritized fix list. Nothing changes until you approve it, and we document the org as we go so it is easier for anyone to maintain.
You Won’t Get Handed Off to Junior Staff.
At most consulting firms, the senior person who sold you shows up for the kickoff — then you get handed to a team of juniors learning on your dime. That’s not how we work.
