CRM selection and setup

The Best CRM for Orange County Businesses Is the One Your Team Will Actually Use

Every CRM vendor says theirs is the best. We do not sell any of them, so our answer depends on your sales process, the tools you already run and how many people will use it. Then we set it up and move your data in.

The best CRM for Orange County businesses is not one product. For a five-person contractor it is usually HubSpot's free tier or Pipedrive; for a firm already on Microsoft 365 it is often Dynamics 365; for a company with a complex sales organization it may be Salesforce. Lightray Solutions, based in Fullerton, CA, helps you choose between them without a vendor relationship, then handles the setup, data migration and training, remotely.

Edward Pinela, MBA, runs each engagement personally. Selection and setup are quoted after a free 30-minute strategy call, as a fixed scope, so there are no hourly surprises.

“Great firm, they understood our company needs really quickly… their approach was very hands on…”

Which CRM is best for which Orange County business?

Orange County's economy is dominated by professional services, healthcare, real estate, construction and trades, manufacturing and a large technology sector around Irvine. Each has a different sales shape, and the table below is the short version of the advice we give most often. It is a starting point, not a verdict: the call is where we check it against your actual process.

CRM starting points by business type
BusinessUsual starting pointWhy
Contractor or trades, 2–15 staffHubSpot free or PipedriveSimple pipeline, quote follow-up, low cost per seat
Professional firm on Microsoft 365Dynamics 365 Sales Professional or HubSpotOutlook, Teams and SharePoint integration; Power BI reporting
Real estate or mortgageHubSpot or an industry CRMLong nurture cycles and heavy email automation
Manufacturer or distributor selling B2BDynamics 365 or Zoho CRMAccount and quote management, ERP and QuickBooks integration
Healthcare or dental practiceA HIPAA-eligible CRM configured for intake and recallCompliance first; patient records stay in the practice system
Technology company with a sales teamHubSpot Sales Hub or SalesforceLead scoring, sequences and forecasting at scale

Do you resell Microsoft Dynamics 365 in Orange County?

No. Lightray Solutions is not a Microsoft reseller or partner, and we have no reseller agreement with HubSpot, Salesforce or Zoho either. You buy the licenses directly from the vendor at list price, and we do the implementation. That is deliberate: a reseller earns a margin on the product it recommends, and we would rather the recommendation be worth something. If Dynamics 365 is the right fit, we set it up: Sales Professional licensing, the pipeline, Outlook and Teams integration, Power BI reporting and the data migration.

What does CRM selection and setup include?

A fixed scope covering six pieces of work, so nothing is left for your team to finish on their own:

  • Needs review. A short interview on how a lead becomes a customer today, who touches it and where it stalls.
  • Platform match. A written recommendation comparing two or three candidates on fit, integrations and three-year cost, with the reasons.
  • Setup. Pipeline stages, custom fields, user roles, email and calendar connection, website form capture and the automations your process needs.
  • Data migration. Export, cleaning and import of contacts, companies, deals and notes from spreadsheets or the old system, with a check against the source counts.
  • Integrations. Accounting (QuickBooks, Xero), email marketing, phone systems and, for Dynamics and Power Platform users, Power BI dashboards.
  • Training and handover. Live remote sessions for sales and admin users, recorded, plus a short written guide.

How much does a CRM cost for a small business?

License costs are paid to the vendor and are public: HubSpot has a free CRM, with paid Starter hubs at around $20 per seat per month on an annual plan; Dynamics 365 Sales Professional is $65 per user per month, paid yearly; Salesforce and Zoho publish small-business tiers in the same range as HubSpot's. Multiply by the people who will actually use it, which is often fewer than you think.

Our selection, setup and migration work is quoted as a fixed scope after the strategy call. A simple pipeline on HubSpot for a small team is a one-to-two-week job; a Dynamics 365 rollout with migration, integrations and reporting is a project of several weeks.

How does the engagement run?

Four steps, with the recommendation and the price in writing before any build starts:

  • 1. Strategy call. Free, 30 minutes, about your sales process and current tools.
  • 2. Recommendation and quote. The platform comparison and a fixed price for setup and migration.
  • 3. Build and migrate. Configuration, data cleaning and import, integrations, tested with your real records.
  • 4. Train and launch. Remote sessions for each role, then go-live with support for the first weeks.

Why choose Lightray Solutions for CRM selection?

Because the advice is not tied to a product, and the consultant who recommends the system is the one who sets it up. Edward Pinela, MBA, has 20+ years in business systems and reporting, 200+ projects delivered, a 4.9★ Google rating and an A+ BBB rating. Frequently asked questions

Is HubSpot or Salesforce better for a small Orange County business?

HubSpot, for most. It has a free tier, is easier to set up and is enough for teams under about twenty users. Salesforce makes sense when the sales organization is large or the process is unusually complex, and it costs more to configure and maintain. We set up both and are not paid by either.

Can you migrate our data from an old CRM or spreadsheets?

Yes. Contacts, companies, deals, notes and activity history are exported, cleaned and imported, and the record counts are checked against the source before go-live. Cleaning is where most of the time goes, and we tell you how much is needed after looking at the data.

Do you work on site in Orange County?

No. Selection, setup, migration and training are all done remotely over video and screen share, which is also how the vendors' own onboarding works. Our Fullerton address is the business address only.

Will our team actually use it?

That is the real risk with any CRM, and it is why setup starts from your existing process rather than the vendor's template. Fewer stages, fewer required fields, email that logs itself and a pipeline each person can read in ten seconds are what drive adoption, along with role-based training rather than one generic session.
