How remote delivery works

Remote BI Consulting: How the Work Gets Done Without Anyone in Your Office

You like the idea of a senior BI consultant from anywhere in the country, but you want to know the practical part first: what access they need, where your data lives while they work, and how your people stay involved.

Remote BI consulting is how every Lightray Solutions engagement runs: the work happens inside your own Microsoft tenant, over video and screen-share, with access you grant, scope and can remove at any time. There is no office visit to schedule, because the reports, the data and the people who use them are already in the cloud.

This page explains the mechanics. Edward Pinela, MBA, does the work himself, so the person you set access up for is the person who builds your reports.

The first step is a free 30-minute strategy call, which can include a look at how your tenant is set up today. Projects are quoted at a fixed price after a short discovery, and ongoing help runs on Power BI Flex Support, from $2,500 for 20 hours.

“Amazing! Lightray Solutions built us a Power BI dashboard based on my busy restaurant’s quickbooks data that allows me to see my entire business on a daily basis which has been a game-changer! Excellent communication and service!”

— Quinn R., Google review

How does a remote BI consultant get access to your data?

Through your own identity system, never through shared passwords. Your administrator either invites the consultant as a Microsoft Entra B2B guest, who signs in with their own credentials, or issues a named account in your tenant. Either way, your Conditional Access and multifactor rules apply, and one click removes the access.

Which route fits depends on the work. Microsoft's documentation lists things guest users cannot do in Power BI, including publishing directly from Power BI Desktop, installing a data gateway and using Analyze in Excel. For viewing and reviewing, guest access is simplest; for hands-on model building, many companies issue a named, licensed account instead, which they still own and control.

What does a remote BI working session look like?

A video call with screen-share and an agreed agenda: the people who know the data explain it, Edward builds or shows work in progress, and decisions are written down before the call ends. Most of the building happens between sessions, so meetings are for decisions rather than watching someone type.

Three habits keep remote work running smoothly:

  • Recorded walkthroughs. Every handover and training session is recorded, so people who were out, or join next year, can catch up without another meeting.
  • Written decisions. Each definition, such as what counts as revenue, is written into a shared document and the model's documentation, not left in someone's memory of a meeting.
  • Work in progress you can open. Drafts live in a development workspace in your tenant, so you can click through them whenever you like, not only during a scheduled demo.

How is security handled in remote BI work?

By least privilege and by keeping your data where it already is. The consultant gets the lowest workspace role that does the job, read-only access to source systems, and no tenant administrator rights. Settings that need an admin are written up for your IT person, so every tenant change is made by your own staff.

Data stays in your Microsoft tenant and your systems: working files live in your workspaces and SharePoint, not in personal storage, and access is reviewed and removed when the engagement ends. Microsoft Entra also supports access reviews for guest accounts, which is a simple way for your administrator to confirm who still needs access each quarter. The table shows the typical access for each part of a BI engagement.

Does a remote BI consultant work in your time zone?

Lightray works on Pacific time and serves clients across the United States. For East Coast clients, the overlap is your late morning and afternoon, which comfortably fits working sessions; Pacific and Mountain clients overlap for the whole business day. Messages get a reply within 4 business hours either way.

Because remote delivery does not depend on travel, a company in Ohio gets the same consultant and the same process as one in California. If remote collaboration doesn't suit you, you find out cheaply: on Power BI work, not liking how we work together within the first 4 hours means your money back. If you are still moving reports off on-premises servers, start with cloud BI migration.

Frequently asked questions

Is remote BI consulting slower than having a consultant in the building?

Usually not. Power BI, your data sources and your users are all reachable online, so nothing is gained by sitting in the building. Short, focused video sessions with written decisions tend to waste less time than long workshops, and recorded walkthroughs replace repeat explanations.

Do we need a Power BI license for the consultant?

It depends on the route. A guest can use a license from your tenant or one their own organization assigned, according to Microsoft's B2B guidance. A named account in your tenant needs a license like any user. Discovery confirms the cheapest route that supports the work.

Can you connect to data on servers in our office?

Yes, through Microsoft's on-premises data gateway, which your IT team installs on a machine inside your network while we share screens. Microsoft's guidance notes that guest users can't install a gateway themselves, which is one more reason your own staff stay in control of that step.

What happens to our access and data when the work ends?

Your administrator removes the guest or named account, read-only database accounts are disabled, and everything built stays in your workspaces and SharePoint with its documentation. There is nothing to retrieve from the consultant, because nothing was kept outside your tenant.
